Introduction - Documents

Documents is the single place every file attached anywhere in Finance can be found.

A signed delivery note on a purchase receive, a vendor invoice PDF on a bill, an insurer's schedule on a recurring expense: all of them are listed here without opening the transaction first.

Highlights of Documents

• One list for the whole workspace. Every attachment, from every module, in a single table.
• Each file remembers what it belongs to. The Associated To column names the transaction and links straight back to it.
• Filter by file type in one click, with live counts for images, PDFs, documents, spreadsheets and everything else.
• Folders, created as you need them, for grouping that cuts across modules.
• Forty-odd record types accept attachments, from invoices and bills through to picklists, journals and employees.
• Ten files per record, or fifteen on an item.

How files get here

You do not usually upload into Documents. A file put on a record from that record's own screen turns up here on its own, still pointing back at where it came from. That pointer is the point of the module: a file with no context is just a file.

Attached to a record

The normal route. Open a bill, expense, receive or item and attach the file from its activity panel.

Uploaded here directly

The Upload button takes a file with no record behind it, for paperwork that has no transaction yet. It shows as Standalone.

Arrived from a phone

A few screens offer a QR code you scan to upload from a phone camera, which saves emailing a photo to yourself.

Why the link is the point

The Associated To column is what makes this list worth opening rather than going to the transaction directly. It tells you which record each file belongs to and links there, so a folder of vendor invoices becomes a folder of vendor invoices with their bills attached.
