Data Portability and Exit Policy

Why this policy exists

Your accounting records, your customer and supplier lists and your employee records are yours. They should never be the reason you stay with us. This policy explains how you take them with you, to another provider or to your own systems, and what we do with them once you have gone.

It follows the rules the EU Data Act (Regulation (EU) 2023/2854, articles 23 to 31) sets for switching between cloud services, and we apply them to every customer under the Global version of our terms, wherever you are. The binding terms are in the exit clause of our Terms of Service; this page explains how they work in practice, and if the two ever differ, the Terms prevail.

Who this policy applies to

It applies to every business customer whose workspace is not set up for the United Kingdom. Workspaces set up for the United Kingdom are covered by the United Kingdom terms. Where the law of your country gives you more than this policy does, that law applies.

How to start

Email [email protected] from an address on the account, saying whether you want a copy of your data, a move to another provider, or both, and whether you want your data deleted afterwards. We acknowledge your request within 2 working days and agree the steps with you. Today our team prepares the export by hand, because the product has no single export of a whole workspace.

The transitional period

We complete a switch or a copy within 30 days of your request. If you ask before your subscription ends, the service continues on your plan until the transitional period is over, even if the subscription would otherwise have ended first, so you can keep working and keep exporting.

If a switch is technically impossible within 30 days, we tell you within 14 working days of your request, explain why, and propose a longer period of no more than seven months.

What you can take

All of your data: what you entered or imported, the records and metadata created by your use of the service, and the files you uploaded. You receive it in the formats the product’s export functions produce (CSV, Excel and PDF, and files in their original format), and, for modules without an export function, in CSV extracted by our team. We exclude none of your data. Our own operational records, such as security logs, are not your data. The annex lists what each module exports today.

The retrieval period

When your subscription ends, every application locks at once and only the sign-in and billing screens respond, unless a switch you asked for is still under way. For at least 30 days after the end, our team exports your data for you on request, free of charge. We do not delete your workspace automatically, so you can also subscribe again and pick up where you left off.

Erasure

When you ask us in writing, once any switch is complete, we delete your data from our live systems within 30 days and confirm the deletion to you in writing. Backup copies are overwritten within 7 days after that. Deletion is permanent and cannot be reversed. We keep data only where the law requires us to, and protect it while we do.

Charges

None. Switching, exporting, extracting data from modules without an export function, transferring it and deleting it are all free. Your subscription fees stop as the Refund Policy describes.

Suspension never blocks your export

A suspended workspace cannot be signed in to, which also blocks the product’s exports. Suspension never removes your right to your data: email [email protected] and our team exports it for you, as the Abuse Policy explains.

Where our infrastructure is

The application, the database and uploaded files are hosted by DigitalOcean in its London region, in the United Kingdom, behind Cloudflare’s network. Our sub-processors and their locations are listed on our Compliance page, and the protection against unlawful access by public authorities is described on our Security page.

Your own retention duties

The law of your country sets how long your business must keep its accounting, tax and employment records, often for many years, and that duty continues after you leave SorviAI. Our backups are kept for seven days to recover the service; they are not an archive. Ask for your export, and keep your own copy, before you ask us to delete your data.

Changes to this policy

We will not reduce the rights in this policy without giving workspace owners at least 30 days’ notice by email, and you may leave, on these terms, before a change takes effect. This is the first published version. Every later version will be published here with its date, and earlier versions will be kept at this address.
