When a Report Looks Wrong

The differences people hit, and where each one actually comes from.

Reports read records back and cannot change a figure, so a report that looks wrong is almost always right about something you did not ask.

The report shows less than the item list

The report has a date range and the item list does not. Stock Summary shows what happened in a period; the item shows the position now. Take the range back far enough and the report says No data available for the selected date range rather than showing you a zero, which is the clearest signal you will get that the range is the problem.

A valuation will not move whatever the range says

Inventory Valuation Summary and FIFO Cost Lot Tracking carry a date range in the toolbar and do not use it. They are position reports: what you hold, valued now. Setting them to an empty month returns the same figures as setting them to the year. That is correct, not a stuck screen.

Stock looks too high

  1. Check for packed but unshipped boxes

    The count falls on the shipment, not on the package. A box on the dispatch bench is still stock you hold.

  2. Check Committed Stock Details

    Reserved units are still in your total and cannot be promised to anybody else, which is what makes a healthy-looking figure unsellable.

Stock looks too low

Usually a delivery that arrived and was never received in. The goods are on the shelf and no document says so. Filter purchase orders to issued and past their expected date.

A depot is empty and the total is fine

Stock sitting elsewhere, or a transfer sent and never received. Transfer Order Details lists what is in transit; Warehouse Details says what each depot actually holds.

The value is wrong but the quantity is right

Valuation comes from the receives that brought the goods in, not from the cost price typed on the item. Those are different numbers and only one of them reaches a report.
