Introduction - Visitor Management

Everybody on site who is not an employee, from arrival to sign out, in one log.

A tour of Visitor Management: who is on site, who they came to see, and who has not signed out.

A visitor is anybody on site without an employee record: a contractor, a candidate, an auditor, a customer. The log exists so that a fire roll call is a list rather than a guess.

The Visitor Management screen, headed Visitor Management above the line Log and track visitor check-ins and check-outs, with a blue Log Visitor button. Four count cards read 0 Currently In, 0 Today's Visitors, 0 Checked Out and 0 Overstay. Filter chips read All Status and All Time. The table has columns Visitor, Purpose, Host, Check In, Check Out and Status, listing thirty-four visitors with purposes including Meeting, audit, Interview, sales visit and training.

The four counts

Four count cards on the Visitor Management screen: 0 Currently In with a sign-in icon, 0 Today's Visitors with a person icon, 0 Checked Out with a clock icon, and 0 Overstay with a warning triangle.
Currently In is the roll-call number. Overstay is the one to act on.

Checked in and not yet out. This is the figure a fire warden needs.
Today's Visitorssince midnight
Everybody who has arrived today, whether or not they have left.
Checked Outgone
Visits closed today.
Overstayunclosed
Visits still open past when they should have ended. Either somebody is still here or a sign-out was missed.

What a visit records

Columns on the visitor log
FieldWhat it does
VisitorTheir name and contact number, with initials as an avatar.
PurposeWhy they came. Common purposes render as coloured chips; anything typed in freely shows as plain text.
HostThe employee they came to see. This is the required field, and the one that makes the log useful afterwards.
Check In and Check OutTime above date, for both ends of the visit.
StatusIn or Out.
