The Leave Report

Utilisation across a year, broken down by department and by leave type.

One report covers leave, and it is the only one that opens on a whole calendar year rather than a month. Leave is an annual entitlement, so a monthly window would say almost nothing.

The Leave report, headed Leave above the line Leave usage, balances and the yearly trend, with a date range of 01/01/2026 to 31/12/2026 and a Rotherham Central Warehouse location picker. Six tiles read Days Taken 77 across 2026, Allocated 673 entitlement days, Remaining 596 unused entitlement, Utilization 11 per cent of entitlement used, Busiest Month July with 11 days, and Departments 8 with leave data. A By Department table follows, and a Leave by Month chart sits below it.
A full year by default. Six tiles, then the same year broken down two ways.

The six tiles

Six tiles on the Leave report: Days Taken 77 across 2026, Allocated 673 entitlement days, Remaining 596 unused entitlement, Utilization 11 per cent of entitlement used, Busiest Month July with 11 days, and Departments 8 with leave data.
Days taken over allocated is utilisation. The other three tiles are context for that one figure.
Tiles on the Leave report
FieldWhat it does
Days TakenApproved leave days used in the period, across everybody at the depot.
AllocatedTotal entitlement days granted by the leave policies that apply, added across every employee and type.
RemainingAllocated less taken. Unused entitlement, most of which will not carry into next year.
UtilizationDays taken as a percentage of allocated. The single number the report exists to produce.
Busiest MonthThe month with the most days taken, and how many. Useful for spotting a cover problem before it repeats.
DepartmentsHow many departments have any leave data in the period.

By department, by leave type

The By Department table on the Leave report, labelled used of allocated. Columns read Department / Employee, Employees, AL, SL, PAR, CMP, TOIL, JUR, UNP, Total Allocated and Used. Rows list Health and Safety, Warehouse and Logistics, Engineering and Maintenance, Operations, People and HR, Procurement, IT and Systems and Finance, each with a chevron to expand, and cells such as 19/75 for Annual Leave in Operations.
Every cell is used over allocated. The chevron on a department expands it into its individual employees.

Leave by month

The chart under the table plots days used per month across the year. It is what turns the Busiest Month tile into something actionable: a single spike is a shutdown, a rising curve towards December is everybody using entitlement before it expires.
