Introduction - Regularizations

The approval trail behind every corrected attendance day, and the two stages it passes through.

A tour of Regularizations: what a correction request carries, and the two decisions it needs.

A regularization is the only route by which an attendance day changes and leaves a record of why. The employee states what actually happened, an approver agrees, and Worklink rewrites the record.

The Regularization Requests screen, headed Regularization Requests above the line Manage attendance correction requests, with a New Request button and a Central Warehouse location picker. An All Status filter chip sits above a table with columns Date, Employee, Type, Requested Times, Reason, Status and Actions. Seven rows list corrections of types Forgot to clock in, Forgot to clock out, Missed punch and Overtime approval, with Pending, Manager Approved and Approved statuses, and green Approve buttons beside red reject buttons.
Seven requests, three states. The Approved row at the foot has no buttons left.

What a request carries

Columns on Regularization Requests
FieldWhat it does
DateThe attendance day being corrected, not the day the request was raised.
EmployeeWho is asking, with their department underneath.
TypeWhat kind of correction: a missing clock in, a missing clock out, a missed punch, overtime, a shift change or working from home.
Requested TimesThe times being claimed. Clock corrections read In and Out; an overtime request reads From and Until.
ReasonWhat the employee wrote. It is the only context an approver has.
StatusPending, Manager Approved or Approved. See below.

Approval has two stages

Worth knowing before you decide anything: a request does not travel straight from asked to done.

  1. Pendingraised, nobody has decided
  2. Manager Approvedthe line manager agrees
  3. Approvedfinal sign-off, the record changes
Pendingwith the manager
Raised and untouched. The attendance record still reads exactly as it did.
Manager Approvedhalfway
The line manager has agreed, and it is now waiting on the second decision. The record has still not changed.
Approveddone
Fully signed off. Worklink has rewritten the attendance day, and the row keeps no further actions.
Rows of the regularization table. Fiona Kerr of People and HR forgot to clock in on 21 August, requesting in at 08:30 and out at 17:30, Pending. Hazel Bidwell forgot to clock out on 25 August, Pending. Marcus Thorne has a missed punch on 8 September, Pending. Dermot Lynch forgot to clock out on 26 August with the reason that the kiosk at Goods In was offline, Pending. Eleanor Whitfield has an overtime approval for 7 September showing From and Until times, marked Manager Approved.
Note Dermot's reason: an offline kiosk is a systematic problem, and several requests with the same cause usually mean a bulk upload is the better fix.
