Manage public links

Read a public link's card: its views, downloads, password and expiry. Copy the address again, or delete the link.

Every public link on a file has a card of its own on the file's Public Link tab. The card is where you check whether a link is being used, and where you end it.

The Public Link tab for Trade Price List 2026 - Rev B.xlsx. A Create Link button sits at the top right. Below it one card, Trade account customers, showing 23 views, 11 downloads, an orange Password badge and Expires Dec 31, 2026, then Created May 1, 2026. A copy icon and a bin icon sit at the card's top right.
A link with a password and an expiry date. The two counts show it has been opened 23 times and downloaded 11.

Read a card

Parts of a public link card
FieldWhat it does
LabelThe name you gave the link when you made it.
ViewsThe eye and its number: how many times the link has been opened.
DownloadsThe arrow and its number: how many times the file was downloaded through this link.
PasswordAn orange badge, shown only when the link has a password.
ExpiresThe date the link stops working, shown only when one was set. It reads Expired once that date has passed.
CreatedThe day the link was made.

A card for a link that has expired or been switched off stays on the list but greys out, and says why. The address on it no longer opens the file.

The Public Link tab for Northgate Water Utilities - Framework Lot 3 Response.docx. Its one card, Northgate portal upload backup, is greyed out and shows 3 views, 2 downloads and the word Revoked in red, with Created Sep 3, 2026 beneath.
A revoked link keeps its history on the card, but the address is dead.
Copy
The two-squares icon copies the link's address, ready to paste into an email. It turns into a tick when the copy has worked.
Delete
The bin removes the link and its card for good. There's no confirmation, and the address stops working at once.
