# Offboarding

Exit types, the default notice period, and the clearance groups a leaver has to be signed off through.

Three tabs, covering the three decisions a departure runs on: why somebody is leaving, how much notice they owe, and who signs them off before they go.

## Exit Types

![The Exit Types tab, headed Exit Types above the line Configure the exit types available when initiating a separation, with a blue Exit Type button at the right. Six rows follow, each a name and a three-dot menu: Resignation, Retirement, End of Fixed-Term Contract, Redundancy, Dismissal and Mutual Agreement.](https://www.sorviai.com/help/worklink/settings/exit-types.png)

*A type is a name and nothing more, because it labels a separation rather than driving one.*

The reasons offered when a separation is initiated. Retire one by making it inactive rather than deleting it, so past separations keep the reason they were recorded under.

## Notice Period Policy

![The Notice Period Policy tab, headed Notice Period Policy above the line Configure the default notice period rules applied when an employee submits a resignation. A Notice Period Duration section holds one field, Default Notice Period (days), set to 30, above the note Applied to all confirmed employees.](https://www.sorviai.com/help/worklink/settings/notice-period.png)

*One field, applied to every confirmed employee.*

It is the starting point a resignation is measured from, not a rule nobody can move.

## Clearance Groups

![The Clearance Groups tab, headed Clearance Groups above the line Configure department-based clearance groups. Each group is assigned to a person who signs off their department's clearance during offboarding, with a blue Group button at the right. Five draggable rows follow, each with a department name, an assignee chip, an amber deadline chip and an item count: Line Manager assigned to Marcus Thorne 5d 3 items, IT and Systems to Nita Chakraborty 3d, Warehouse and Stores to Bethan Lloyd 3d, Finance to Ruth Alderman 7d and People and HR to Fiona Kerr 7d.](https://www.sorviai.com/help/worklink/settings/clearance-groups.png)

*Each group names the person who signs it off and how long they have.*

A clearance group is a department that has to sign a leaver off: IT taking the laptop back, Finance settling expenses, Facilities collecting a pass.

### Questions inside a group

Each group holds the questions its assignee answers, and each question carries its own answer type.

| Answer Type | Use it for |
| --- | --- |
| Yes / No | Something that either happened or did not: has the laptop been returned? |
| Date | When something was handed over or completed. |
| Text | A note, a serial number, an explanation. |
| Dropdown | A fixed set of answers you define. |

Groups can be reordered by dragging, and that order is the order they appear in on a leaver's checklist. Put the ones that block the others first.

> **Tip:**
>
> **Name the assignee by role, not by favour**
>
> The default assignee is who the clearance lands on every time, for everybody who leaves. Choosing the person who owns the process beats choosing whoever is helpful this month, because the setting outlasts the month.

> **Note:**
>
> **A separation copies the group when it is initiated**
>
> The department, the assignee and the deadline are written onto the separation the moment it starts, so editing a group here does not move a departure already under way. Get the groups right before the leavers arrive rather than during.
