# Read a Record

Every column on the list, what a missing timestamp means, and how to change the columns you see.

The table is dense on purpose: it is meant to be scanned, not read. This names each column and each state a row can be in.

![Five rows of the attendance records table for 8 September. Marcus Thorne of Operations shows 08:47 with no check out, dashes for break, 15h 12m net and the status Late. Kwame Boateng shows 05:54 to 14:24 with a thirty minute break and 8h 00m, Checked Out. Dermot Lynch shows 06:03 with no check out and the status Checked In. Fiona Kerr and Eleanor Whitfield are both Checked Out with an hour of break each.](https://www.sorviai.com/help/worklink/records/record-rows.png)

*Three states in five rows. The dashes in Marcus Thorne's row are the tell: he never checked out.*

## The columns

*Columns on Attendance Records*

## The states a row can be in

| Status | Means | What it usually needs |
| --- | --- | --- |
| Checked In | The clock is running; no check out yet. | Nothing, during the day. After the day ends it needs a correction. |
| Checked Out | Both timestamps present; the day is closed. | Nothing. |
| Late | Checked in after the shift start plus its grace period. | Nothing, unless the employee disputes it. |
| Absent | No record and no approved leave for a working day. | Checking whether leave was requested and never approved. |

> **Note:**
>
> **A missing check out is not the same as a short day**
>
> A row with a check in, dashes for the check out and a small net figure has not finished counting; it stopped when the clock did. That is the single most common thing a regularization is raised to fix.

## Choosing the columns

Seven fields are available and all seven are on by default. Two of them cannot be turned off.

![The Manage Fields panel open over the records table, headed Manage Fields 7 of 7 with a search box. Seven draggable rows are listed with checkboxes: Date, Day, Employee, Check In / Out, Break, Net Working / OT and Status. Date and Status carry a padlock icon and greyed checkboxes. Cancel and Save buttons sit at the foot.](https://www.sorviai.com/help/worklink/records/manage-fields.png)

*Date and Status carry a padlock: a row without them would not identify anything.*

> **Tip:**
>
> **Reorder by dragging, then Save**
>
> The handle at the left of each row moves it. Nothing is applied until you press **Save**, so a change you abandon costs nothing.

## Narrowing the list

![The head of the Attendance Records screen showing four filter chips: All Status, All Departments, All Employees and Today, each with a funnel icon, and two icon buttons at the far right for managing fields and for more actions.](https://www.sorviai.com/help/worklink/records/filter-bar.png)

*Four chips, combined. All Status plus All Departments plus Today is the default view.*

The chips are independent and they combine. **Today** is the period, and it is the one to widen first: a person who did not work today produces no row at all, which reads exactly like a person who does not exist.
