# Find Who Is In

Search, filter and switch view so the screen answers the question you actually have.

On a team of a dozen the default grid is enough. Past that, the three view modes and four filters are what turn a wall of tiles into an answer.

## Search for one person

*Name, role or department, all at once. Typing a department is how you get a team without opening the filters.*

## Switch the view to fit the question

*Three view modes and a filter. The chosen view is remembered between visits.*

- Select the middle button for **Compact view**. It groups everybody by state and puts a count beside each heading, which is the fastest read of who is in.

![The Presence screen in compact view. Employees are grouped under headings reading Checked In with a count of 5 and Checked Out with a count of 8. Each card shows initials, the person's name, their designation and department, and their state. - Select the right-hand button for **List view**, which adds the times and the hours worked so far. It is the one to use when you need numbers rather than names.

![The Presence screen in list view. Each row shows a checkbox, an avatar with a small status dot, the person's name and their designation and department, their times such as In 08:47 or 08:35 to 19:05, the hours worked such as 5h 38m worked, and a status pill. Marcus Thorne's row carries an amber Late plus 13 minutes pill; Nita Chakraborty and Ruth Alderman show blue Checked In pills.](https://www.sorviai.com/help/worklink/presence/list-view.png)

| View | Shows | Best for |
| --- | --- | --- |
| Grid | Large tiles, one per person, ungrouped. | A small team you recognise by face. |
| Compact | Cards grouped by state, with a count per group. | Answering who is in, fastest. |
| List | Rows with check-in time and hours worked. | Checking how long somebody has been here. |

## Narrow with the filters

![The filter panel open over the Presence list view, offering four filters: All Status, All Departments, All Shifts and All Employees.](https://www.sorviai.com/help/worklink/presence/filters.png)

*Four filters, and one of them is unique to this screen.*

- **All Status** (the seven states): Narrow to just the absent, just the late, just those yet to arrive.
- **All Departments** (by team): The same grouping every other Worklink screen filters on.
- **All Shifts** (by pattern): Only here. It answers whether the back shift turned up, which no other filter can.
- **All Employees** (by person): Pin the screen to specific people.

> **Tip:**
>
> **Filter by shift, not by department, for a rota question**
>
> A depot running two patterns has two arrival times. Filtering by shift is what separates "the back shift is short" from "the whole site is late", and Presence is the only screen offering it.

## Nudging somebody

Where an employee is flagged, because they are late without a correction filed, over their break, or expected and not arrived, the screen offers to notify them. The tick boxes on the rows are how you pick several at once.

> **Note:**
>
> **Only people with a login can be nudged**
>
> A notification is addressed to a user account, and much of a roster does not have one: warehouse and workshop staff are commonly onboarded without a login and clock in at a kiosk instead. Holding a self check-in link does not change this. A link lets somebody punch in; it is not an account, so the nudge control simply does not appear for them.
