# Introduction - Leaves

Every leave request in the organisation, whoever raised it and whatever state it reached.

**Video coming soon:** A tour of Leaves: every request at one depot, and what you can still do with each.

Leaves is the whole organisation's request history in one table. It holds what people asked for, what was granted, what was turned down and what was withdrawn, and it does not filter itself down to what still needs a decision.

That last part is the distinction worth holding on to: this screen is the record, and Approvals is the queue.

![The Leaves screen, headed Leaves above the line Review and track employee leave requests, with a Central Warehouse location picker and a blue Apply Leave button at the top right. Filter chips read All Status and All Types. The table has columns Employee, Type, From, To, Days, Reason, Status, Applied On and Actions, and lists thirty requests with a mix of Pending, Approved, Cancelled and Rejected.](https://www.sorviai.com/help/worklink/leaves/leaves-list.png)

*Thirty requests at one depot. Employee is the first column here, which is the whole difference from the Self Service version.*

## What the screen is made of

- **The location picker** (top right): Which depot's people you are looking at. It scopes the table, exactly as it does on Attendance Records.
- **Apply Leave** (beside the picker): Raises a request on somebody else's behalf. The form gains an Employee field when opened from here.
- **The two filter chips** (status and type): All Status and All Types. They combine, so one type in one state is two presses.
- **The table** (one row per request): Who asked, for what, when, why, and where the request got to.

*Two controls that both change what the screen is for: one scopes it, one adds to it.*

## Leaves and Approvals are not the same list

Both show leave, and people reach for the wrong one constantly. The difference is what each is for.

**Leaves** (the record)

- Yes: Every request in every state, including cancelled ones.
- Yes: Answers what happened, and when.
- No: No approve or reject buttons on the rows.

**Leave Approvals** (the queue)

- Yes: Only what is still pending your decision.
- Yes: Approve and Reject on every row.
- No: Nothing already decided; a request leaves the moment you act.

> **Note:**
>
> **A person missing from the list is usually at another depot**
>
> The location picker scopes this screen the same way it scopes attendance. Widening the status filter will not surface somebody based elsewhere.

## Where a row's leave shows up elsewhere

| Once approved | It appears as | On |
| --- | --- | --- |
| The days are booked | A Leave day, in purple | The attendance calendar |
| The balance moves | Pending becomes Used | Leave Balance |
| The employee sees it | An approved row in their own list | My Leaves, in Self Service |
| Cover is visible | The person is off, not absent | Presence and the records list |
