# Export and Share

The four formats behind the kebab, the dialog each one opens, and what to check before you send it on.

A report you have run is a snapshot. Exporting it makes that snapshot permanent, which is the point and also the risk.

## Export one

- **Run the report with the columns and range you want**

  Set them first. The export takes the report as it stands.
- **Open the kebab beside Run Report**

  The three dots at the far right of the toolbar are **Export options**. There is no Export button; this menu is the only way out of a report. It offers **Excel (.xlsx)**, **PDF**, **CSV** and **Print**.
- **Fill in the dialog**

  The three file formats each open one before anything downloads. **Print** does not: it goes straight to your printer dialog.
- **Select Export**

  The file arrives named after the report, so Stock Summary comes down as `Stock Summary.csv`.

## What the dialog asks

**Excel and CSV** (for working with)

- Yes: Opens in a spreadsheet
- Yes: Use current view, on or off
- Yes: Password optional
- No: Keeps the report's layout

**PDF** (for sending as a record)

- Yes: Keeps the report's layout
- Yes: Password optional
- No: A Use current view toggle
- No: Anything the recipient can total

> **An exported report stops updating**

> It is right for the moment it was run and wrong from the next transaction onwards. Anything circulated for a decision should say when it was produced, and the file name is the only place that will survive being forwarded.

## Before sending it on

- **Is the period what you meant**: The commonest error, and invisible once the file has left the product.
- **Is the scope stated**: One depot's valuation looks exactly like the whole company's.
- **Does it contain costs**: Inventory Valuation Summary and FIFO Cost Lot Tracking carry what you pay your suppliers. That is what the password field is for.
